EpicCare MyLink - Create New MyLink

For New Organizations Without MyLink Access

1. Go to the MyLink Website

2. Request a New Account:

  • Select Request New Account under the Log In button.

3. Choose a Site Type:

  • Under Choose a type of site to create, select Site.

4. Enter Site Information:

  • Site Name
  • Site Phone Number
  • Site Fax Number
  • Site NPI Number
  • Site Address

5. Attach Required Documents:

  • Attach a completed Organization Access Agreement. This must be fully completed and will be verified before the site is created.

6. Click Next:

  • Once all information is entered, click Next.

7. Add Users:

  • Choose a user type (Non-Clinician, Clinical Staff, or Provider).
  • Required User Information:
    • For Non-Clinical Staff and Clinical Staff:
      • First Name
      • Last Name
      • Work Email
      • Primary Referral Location
      • Job Title
      • If the user is a site admin, check the box at the bottom of the screen to make this user a site administrator.
  • For Providers:
    • First Name
    • Last Name
    • Work Email
    • NPI#
    • License#
    • License State
    • Primary Referral Location
    • Job Title

8. Add Additional Users:

  • After adding the initial user, you can add additional users by clicking the Add button at the top left of the screen.

9. Verification:

  • Select Verification at the bottom right of the page.
  • Complete the CAPTCHA to confirm the requestor is human.
  • Choose the user who will be the main contact for the new site request.
  • Enter who is submitting the request.

10. Confirmation and Reference Number:

  • After submission, you will receive a confirmation screen with a reference number.
  • The main contact must retain this reference number.
  • A link to UF Health's HIPAA training will also be provided. HIPAA training is required before accessing MyLink and must be kept for six years in case of an audit. If your organization provides HIPAA training, you may skip the UF Health HIPAA training. If needed, you case access UF Health’s provided HIPAA Training here. Regardless of what training is done, records of such training must be kept for 6 years.

11. Email Verification:

  • The primary contact will receive an email to verify their email address.
  • After verification, a second email will be sent with the reference number again.

12. Site Creation and Account Activation:

  • Our team will begin creating your site and user accounts.
  • Once completed, the main contact will receive an email with their username and a link to MyLink. They must log in using their user ID and reference number. Upon logging in, they will be prompted to change their password and agree to Epic's and UF Health’s Terms and Conditions.

13. Password Setup for Additional Users:

  • Other users added during the request will receive an email with their user ID and will need to contact the site administrator to set their password.

14. Setting User Passwords:

  • After logging into MyLink, the primary contact can go to Admin > My Groups (gear icon at the top bar).
  • From here, set the initial password for approved users.
  • For any new user requests made inside the system, site admins will be notified to set the password through their inbox.

15. Password Setup Process:

  • Once a user is selected, a popup will appear to set their password. Enter your own password for verification, then click Accept.
  • Share the MyLink link, the login ID, and the newly set password with the user. Upon first login, they will be prompted to change their password and agree to both Epic's and UF Health’s Terms and Conditions.

Reminder: HIPAA training must be completed prior to accessing MyLink, and your organization must retain records of completion for six years. If your organization provides HIPAA training, UF Health’s HIPAA training can be skipped for all users.
